The Team
Alvarez & Marsal is seeking a dynamic, enthusiastic Executive Assistant (EA) to join the growing TAX team. This critical position will be based in the Tokyo, Japan Office.
The Team
Due to steady growth within our Japan Tax Practice, we are looking to hire an Executive Assistant to support our 3 Managing Directors in Japan. You will have a chance to work with the top leadership in our Tax business and make significant contributions to the growth of the firm. The ideal candidate will be proactive, agile, strategic, detail-oriented and able to juggle multiple tasks simultaneously. How you will contribute
Responsibilities:
- Coordinates Managing Directors’ calendars to ensure conflicts are avoided and scheduled events are maintained
- Support submission of expense reports through Concur finance system and help reconcile corporate credit card statements.
- Work closely with the staff to keep the team informed of upcoming commitments and responsibilities, following up as appropriate.
- Research, prioritize, and follow up on incoming issues and concerns addressed to determine appropriate course of action.
- Act as a bridge for smoother communication between internal and external stakeholder groups
- Schedule and organize meetings, conference calls, events, and other departmental activities.
- Coordinate travel plans, hotels, and car service.
- Provide general administrative support (e.g., copying sensitive files, binding, answering phone) and project specific assistance.
- Meeting and greeting clients and other visitors.
- Assist with department activities/projects as needed and perform other work-related duties as assigned.
Qualifications
- A Bachelors’ Degree in relevant field of study (degree in business-related field a plus) is nice to have but not mandatory
- 5-7 years of Administrative Assistant or Executive Assistant experience. Experience working in consulting, professional services, accounting, or a law firm is nice to have
- Feels comfortable with completing expense reports, invoicing and reconciliation of credit card statements.
- Highly proficient with Microsoft Office
- Understands the importance of strict confidentiality of internal/personnel affairs/client information.
- Ability and desire to learn and develop new skills.
- Excellent oral and written communication skills
- Native Japanese, Business English required
- Impeccable attention to detail and self-review and strong follow-up skills.
- Demonstrates ownership and accuracy of work product.
- Must work efficiently and be able to meet deadlines; strong time management skills; prompt reliable service.
- A self-starter who can multi-task and support multiple people with varied personalities.
- Ability to work independently, as well as on a team, in a fast-paced environment.
- Able to interact effectively and professionally with clients and all levels of firm personnel.
- Willingness to be coached / desire and capacity for growth / positive teaming attitude.
- Flexibility to work additional hours as required in the office and remotely.
