How you will contribute
We are seeking a Receptionist and Team Assistant with a strong passion for delivering excellent client service. This role requires a proactive and energetic individual who can demonstrate initiative, adapt quickly, and effectively manage multiple priorities within a fast-paced environment, where the 'reception' is the heart of our Amsterdam office. The successful candidate will present consistently professional appearance, bring a positive, can-do attitude, thrive in a team-oriented setting, where they will contribute in a hands-on role.
Key Responsibilities
Reception duties:
Taking ownership and pride in providing a professional Front of House service.
Answering all calls and ‘at the desk’ queries in a professional and timely way.
Greeting all A&M visitors, show them to their room and provide refreshments.
Being the first point of contact for the main building reception, representing A&M within the building.
Setting up rooms for meetings and organising catering where required, clearing
and re-setting rooms after use.
Handling general office tasks, such as filing, printing, binding, scanning, and data entry and other ad hoc clerical duties and projects
Team Assistant duties:
Management of the general email inbox
Planning meetings and sending invites accordingly
Liaising with the relevant teams to coordinate office activities, such as booking
couriers and organising all incoming and outgoing post and escalating any issues
Keeping our pantries organised and tidy during the day
Ordering passes for new hires and managing the visitor passes.
Ordering the catering for events held in the office.
Monitoring office supplies and groceries throughout the day and topping up when required
Checking and liaising with IT as necessary to remedy technology faults and ensure that the telephones and TV screens in each meeting room are in full working order.
Organise the monthly office drinks
Booking meetings, venues, flights and hotels
Support our on-going market activities
Organise client meetings / events
Covering for EA holidays and absences
Act as a First Aid Responder (“BHV’er”)
Maintain and edit data in Salesforce
Qualifications
Excellent oral and written communication skills in Dutch(Native/business level proficiency) is absolutely necessary to have, with English (business level proficiency)
Must be proficient in a variety of computer software applications including
Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Preferably experience in Sales Force
Relevant administrative experience, preferably in a professional services
environment.
Excellent communications skills, with the ability to present a friendly and open
style.
Maintain a high level of professionalism in all interactions.
Strong time management, organisation, and prioritisation skills.
An obvious passion for client service.
Ability to multi-task in a fast-paced environment, using flexible mindset to shift
priorities.
Enthusiasm and sensitivity to others, you will enjoy being part of a close working team
Proficient in a variety of computer software applications including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong interpersonal and relationship-building skills.
